Edit Event Panel Help

This guide covers editing and configuring event details, including basic information, scoring settings, participant management, and advanced options.

Introduction

The Edit Event panel allows you to configure all aspects of an event after creation. You can update basic information, scoring formats, participant limits, contact details, and status. Some options may be restricted if participants are already assigned to prevent disruption to ongoing events.

  • Basic Information: Update name, date, location, registration deadline, and description.
  • Sport & Format: Change sport discipline and scoring format (with warnings if participants exist).
  • Event Status: Set as draft, open, live, completed, or cancelled to control visibility and access.
  • Participant Limits: Set maximum number of participants for registration control.
  • Scoring Configuration: Configure scoring mode, runs per heat, and total heats.
  • Contact & Financial: Set contact email, phone number, and entry fee information.
  • Event Management: Delete event (only available if no participants assigned).

What fields are required when editing an event?
Event Name, Date, Location, and Sport Discipline are required. Other fields are optional but recommended for complete configuration.
Can I change the sport or scoring format after participants are added?
Yes, but warnings will appear. Changing these may affect existing scoring and participant assignments, so proceed with caution.
What do the different event statuses mean?
Draft: Not visible to public, still being configured. Open: Open for registration. Live: Event in progress. Completed: Event finished. Cancelled: Event cancelled and closed.
How do I set participant limits?
Enter a number in the "Maximum Participants" field. Leave blank for unlimited registration.
What are scoring mode, runs per heat, and total heats?
These settings control how participants are scored during the event. They may auto-populate from the selected format but can be adjusted as needed.
Can I delete an event?
You can only delete events that have no participants assigned. The delete option appears in the Danger Zone if eligible.
Why are some fields auto-filled or disabled?
Some fields auto-fill based on selected format. Fields may be disabled if not applicable or if participants exist to prevent disruption.
How do I update contact information?
Use the Contact & Financial section to set contact email, phone number, and entry fee for the event.

  • Changes not saving: Check that all required fields are filled. Error messages will appear below invalid fields.
  • Cannot delete event: Only events with no participants can be deleted. Remove all participants first.
  • Scoring settings not updating: Try re-selecting the format or sport. Some settings may be locked if participants exist.
  • Status changes not taking effect: Ensure you save changes after updating the status. Some statuses may affect visibility.
  • Format warnings appearing: Changing sport or format with existing participants may affect scoring. Review carefully before proceeding.
  • Still need help? Contact your system administrator or super admin for further assistance.
Best Practices
  • Set event status to "Draft" while configuring to prevent premature public access.
  • Configure all scoring settings before adding participants to avoid disruption.
  • Set participant limits early if you need to control registration numbers.
  • Update contact information to ensure participants can reach organizers.
  • Use clear, descriptive event names and locations for better identification.
  • Test scoring configuration with a few participants before opening registration.
