BIB Assignment Panel Help

This guide explains every function, option, and workflow for creating, editing, and managing BIB number series for event participants.

Introduction

The BIB Series Assignment panel lets you create, edit, and manage BIB number series for event participants. Only users with appropriate administrative roles can access this panel. Use this system to organize and distribute unique identification numbers efficiently across different events and categories.

  • Create BIB Series: Define new BIB number ranges with custom names, start/end numbers, and descriptions.
  • Edit Series: Modify existing BIB series details, ranges, and settings as needed.
  • Delete Series: Remove unused BIB series (only if no participants are assigned).
  • Assign BIBs: Manually or automatically assign BIB numbers to participants from available series.
  • View Assignments: See which participants have been assigned BIB numbers from each series.
  • Series Management: Track usage, availability, and conflicts across all BIB series.
  • Bulk Operations: Assign multiple BIB numbers at once to groups of participants.

How do I create a new BIB series?
Click the "Add New Series" button, fill in the series name, start and end numbers, and description. Save to create the series.
Can I edit an existing BIB series?
Yes, but be careful when changing ranges if BIBs have already been assigned. It's safer to create a new series for new ranges.
What happens if I delete a BIB series?
You can only delete series that have no assigned participants. Deletion is permanent and cannot be undone.
How do I assign BIB numbers to participants?
Select a participant and a BIB series, then choose either manual assignment (specific number) or automatic assignment (next available).
Can BIB numbers overlap between series?
Yes, different series can have overlapping number ranges, but within each series, numbers must be unique.
How do I handle BIB conflicts?
The system will warn you of conflicts. Resolve by reassigning participants to different numbers or series.
Can I bulk assign BIB numbers?
Yes, select multiple participants and choose a series. The system will assign consecutive available numbers.
How do I track which BIBs are used?
The series view shows assigned/available numbers and lists participants for each series.
Can I export BIB assignments?
Yes, use the export function to download CSV files of BIB assignments for printing or external use.

  • Cannot create series: Check that the number range doesn't conflict with existing series if overlap isn't allowed.
  • Assignment fails: Ensure the participant isn't already assigned a BIB and the chosen number is available.
  • Cannot delete series: Series with assigned participants cannot be deleted. Remove all assignments first.
  • Bulk assignment issues: Make sure you have enough available numbers in the series for all selected participants.
  • Export problems: Check your browser's download settings and ensure you have permission to export data.
  • Still need help? Contact your system administrator or super admin for further assistance.
Best Practices
  • Plan your BIB series ranges carefully before events to avoid conflicts.
  • Use descriptive names for series to easily identify their purpose.
  • Assign BIBs systematically, starting from the lowest numbers.
  • Keep track of assignments and export lists regularly for backup.
  • Test BIB assignments in small batches before doing bulk operations.
